Making it happen

  1. Let's talk

    An opening discussion with one of the Zirstar founders to get an understanding of your event objectives and requirements. This could be on the phone, your videocall platform of choice, or in person.

    We'll mainly be listening, and could involve you bringing a well-developed vision that just needs some oomph to make it happen, a vaguer idea for us to build out, or a broader business need that has been identified but not yet remedied.

  2. Review ideas

    Research time! We'll develop and put indicative costs to a number of options that fit both your hard and soft requirements, talking you through pros, cons, costs, and real-world impressions beyond what's shown on the web.

    While we do have a long list of "go to" suppliers and gems of locations, this is rarely a copy and paste exercise so please allow a full week unless you're really against the clock!

  3. Decision time

    This is the go / no-go point for developing one of the ideas further into a detailed proposal, or calling time and putting things on ice.

    An initial £250 research fee will apply at this point, deducted from the final bill if taken forward to a detailed proposal.

  4. Crafting the detail

    We'll now focus on building out a detailed proposal, including individual itineraries, risk assessments, and the collation of supplier terms and conditions.

    Special requests can be incorporated, and bespoke touches worked out, such as handmade table centrepieces and in-room welcome packs.

    If less than 30 days prior to the first day of your arrangements, 100% of the cost of your arrangements will be due, otherwise it'll be a 10% deposit.

  5. Making it happen

    Time to execute! Bookings get made, plans are communicated to attendees through your event app, and suppliers worked with to make sure everything is just so.

    Any last-minute hiccups are mitigated as best they can be, and if requested, Zirstar can be on-hand on-site so everyone can enjoy the experience rather than simultaneously liaising and troubleshooting.
